How a station runs on KommCare

One car, followed from the moment it pulls into the yard to the profit at the end of the month: who does what, on which screen, and what the system takes care of along the way.

The three people

Everyone gets the screen that suits where they stand

A station isn’t one person at a desk. KommCare gives the yard a phone, the counter a desktop and the owner the whole picture, and each role sees only what it should.

    The car pulls in

    The floor person types the plate and Dilani’s record comes up in seconds, with her car and her past visits. It works with no signal, because each phone remembers the vehicles it has served.

    A first-time customer is registered in one step: customer and car together, phone number tidied into a standard form, and consent to be messaged captured and dated.

    The job is taken and priced

    Services are picked from your own menu, and the SUV price is chosen automatically from the vehicle in front of you. A running total shows as they go, so Dilani hears the figure before anything is committed.

    The job gets a short number staff can say down a phone, and it records who took it. That is what later makes commission honest.

    She changes her mind

    The car is already in the bay when Dilani asks for wax as well. It is added to the same job, from the phone or the desktop, without cancelling and starting again, so the record of who took the job is kept.

    Invoiced and paid

    The job becomes an official numbered invoice. Numbers are gap-free and assigned by the server, so two people invoicing at once can never collide.

    Dilani pays part cash, part card. The system takes the split and refuses anything that would overpay the bill. At a smaller station the floor person does this on the phone, even offline: she gets a slip marked PROVISIONAL, and the official invoice is issued when the phone finds signal.

    She leaves with the paperwork

    Printing is the first thing the counter screen offers: your name and logo, her plate, the services, the totals, and both payments listed as the two payments they were.

    She also gets a text with a link to a branded online copy. It arrives from your station’s own name, not a random number, so she knows who it is from.

    Behind the scenes, nothing is typed twice

    Nobody copies this job into another book. The moment it is invoiced, everything the owner needs later is already updated.

    • Her history grows

      The visit joins her car’s service history and restarts its wash clock.

    • Product use is accounted for

      One more car invoiced, weighed against the chemicals used, for an honest cost per wash.

    • Commission goes to Tharindu

      He took the job, so the sale is his, not the cashier’s who rang it up.

    • The owner’s numbers move

      Cars serviced, invoiced, collected, cash against card: all on today’s dashboard.

    Dilani usually comes in every few weeks. When she passes her usual gap, she appears on the owner’s Who hasn’t been back list, with how late she is and what she usually spends.

    Each kind of service keeps its own clock, so a recent oil change can’t hide a missed wash. The owner ticks her, sees how many texts and what they will cost, and confirms twice. Nothing goes out on a timer.

    Every job like Dilani’s is already in the revenue. Rent, electricity, water and supplies are tagged to the month. Payroll takes each person’s base pay and the commission from the jobs they took, and locks once it is finalised.

    What is left is the number the owner actually cares about: whether the month made money.

Two ways to handle the money, one setting to switch

A two-person station and a busy multi-bay one run the same product. The owner chooses who handles the money and can change it at any time. The change reaches the phones without anyone logging out.

What getting your station ready involves

Much of it comes ready-made, so the station is useful from day one without typing everything in.
